UGBC Position Descriptions 2010 – 2011

Executive Department - apply now!

The Executive Department of UGBC will work with the President and Vice President to ensure the completion of the initiatives listed on the Mabida-Raab platform.  The department will assist in providing the day-to-day resources necessary for the operations of UGBC. It will also be responsible for running the Learning to Serve program and the Mentoring Leadership Program.

Chief of Staff:
The Chief of Staff will assist and advise the President and Vice President in all matters pertaining to the internal operations of UGBC. Demanding a great deal of time and commitment, responsibilities will include the management of interactions between all departments and the programming of Cabinet Meetings. The Chief of Staff will also coordinate fluid communication between ALC, GLC, and the Senate.  He/ She will be responsible for providing weekly updates to the Senate on the current efforts of the Cabinet and should demonstrate a thorough and accurate understanding of all operations within UGBC.

Boston Intercollegiate Leadership Council Representative (2):
The Boston Intercollegiate Leadership Council (BILC) Representatives will act as the Boston College representative at the BILC Conference held each semester. In addition, he/ she will be expected to facilitate the successful execution of the BILC Conference at Boston College this Fall in coordination with the UGBC Senate President. He/she will also be responsible for maintaining effective communication with other universities in the Boston area.

Finance Director (1-2):
The Director of Finance will assist the President and Vice President in all matters pertaining to fiscal issues of UGBC. As the “Accountant” of UGBC, he/she will be responsible for writing weekly reports to the President and communicating fiscal matters with the other Executive Directors.  They must establish a good relationship with Kathy Paglia & Dean Mark Miceli (SPO). They are expected to sign all paperwork for money transfers and to be knowledgeable of the status of all department budgets at all times.

Historian:
The Historian will be responsible for all record keeping of UGBC and will work closely with the Director of Finance. This position will ensure that resources, contacts, and interactions external to UGBC are recorded. He/ She will provide a yearly report detailing the progress made by UGBC throughout the year. The historian’s efforts will ensure greater continuity from one administration to the next.

Learning to Serve Directors (2):
The Directors of the Learning to Serve program will be responsible for selecting up to 50 freshmen to participate in the program. These members will be responsible for selecting service placements, means of transportation, and approximately ten upperclassmen to serve as group leaders for student placements around Boston.

Mentoring Leadership Program Directors (2):
The Directors of the Mentoring Leadership Program will be responsible for selecting members of the incoming freshman class as participants of this program through an application process. The program will pair each freshman with a mentor in the Cabinet in order to prepare them as future leaders within UGBC. The Directors will also arrange pertinent lectures, hold weekly group meetings, serve as guidance and support, and organize service days and retreats for MLP members. They will build a strong relationship with ALA, SHAW House, and ELP Directors. It is expected that these Directors have the MLP class finalized by the end of September 2010.

Special Initiatives Director (1-4):
The Director of Special Initiatives will work closely with the President, Vice President, and Chief of Staff on projects pertinent to the Mabida-Raab platform (i.e. Ethnic Studies Programs, the Study Abroad Community, etc). This position requires a general understanding of the President and Vice President’s vision and may be called upon to assist the efforts of other departments where specific needs arise.


Campus Entertainment Department - apply now!

The Campus Entertainment Department will serve as the primary caretaker in ensuring UGBC provides all students with an enjoyable and stimulating array of programming. Campus Entertainment must provide fun, exciting, innovative, and engaging entertainment for students.  It is expected that the entire Campus Entertainment department will serve as staff members at all department events in order to build camaraderie through the many demands that a position in this department requires.

Executive Director:
The Executive Director will be responsible for directing the vision of the Campus Entertainment department. He/ She will assist the Executive Manager in maintaining a strong team environment within the department. He/ she will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the management of co-sponsorship opportunities with outside clubs and organizations and the maintenance of a strict budget in conjunction with the Director(s) of Finance. Furthermore, the Executive Director must work closely with the Administration in BC Athletics, BCPD, BOC, Facilities, and Residential Life to maintain efficiency. This student must have at least one year of UGBC experience. It is preferable that he/ she has experience within the department historically and demonstrates an affinity for entertainment.

Executive Manager:
The Executive Manager will be responsible for managing the day-to-day logistics of the Campus Entertainment department and its programs and events. He/ She will assist the Executive Director in ensuring that the vision of the department is maintained and in-line with the mission of the rest of UGBC. He/ She will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the programming of weekly meetings, coordination of department events, and provision of resources and advice to all directors within the department. It is preferable that this student has at least one year of UGBC experience and demonstrates an affinity for entertainment.

Athletics Director (2-3):
The Directors of Athletics will be responsible for developing student enthusiasm for athletics at BC. They will be required to bring attention and school spirit to all BC athletic teams. Responsibilities will include the organization of pep rallies and the coordination of student-athlete lead service opportunities. In addition, the directors will be responsible for giving input and advice for the Super Fan Rewards Program. They will organize, recruit, and participate in the Boston College Athletics Board. The Athletics Board will meet regularly with the BC External Operations office to voice Superfan concerns. Directors will also collaborate with the Student Athlete Advisory Committee (SAAC).  Responsibilities include being the effective leadership of the Athletics Team as a marketing, advisory, and operational resource for the department.

Comedy and Concert Director:
The Director of Comedy and Concert will be responsible for bringing smaller acts to campus while encouraging student talent at BC through programs such as Battle of the Bands.  They will be expected to coordinate and collaborate with Pub Series, Nights on the Heights, and outside clubs and organizations.

Event Management Director:
The Director of Event Management will advise and assist the department in all events and programs held through out the year. Responsibilities include the effective leadership of the Event Management Team as a marketing, advisory, and operational resource for the department.

Faculty, Administration, and Student Programming Director:
The Director of Faculty, Administration, and Student Programming will be responsible for facilitating increased communication and interaction between faculty, administration, and the student body through events such as the Breaking the Barriers Ball. Responsibilities include the effective leadership of the Faculty, Administration, and Student Programming Team as a marketing, advisory, and operational resource for the department. He/she should also initiate programming for Boston College support staff.

Pub Series Director:
The Director of Pub Series will create events and activities targeted towards 21+ students. These events may include the introduction of themed Pub Series or off-campus Bar Nights. Applicant must be 21+.

Special Events Director (1-2):
The Director of Special Events will be responsible for organizing traditional events such as Homecoming, Holiday Week, and Spring Weekend. He/ she is expected to utilize innovative ideas to expand upon old traditions and establish new ones.

The Student Life department will address everyday issues and concerns of students at Boston College. The department must work together to ensure an all-encompassing approach to improving our daily life as members of this community.  While the Student Life department spans many different issues, they must all work together towards a common goal in ensuring that students have the resources they need in order to make the most of their Boston College experience. All members of the Cabinet must be in touch with the various needs on campus, but it is specifically important for members of the Student Life department to continuously seek feedback and suggestions from the student body and Senate.

The Executive Director is responsible for setting the direction for the department through his/her vision, ideas, and commitment to improving Student Life. He/ she will assist the Executive Manager in maintaining a strong team environment within the department. He/ she will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the management of co-sponsorship opportunities with outside clubs and organizations and the maintenance of a strict budget in conjunction with the Director(s) of Finance. Furthermore, the Executive Director of Student Life will be expected to represent UGBC to upper-level Administrators on initiatives from the Student Life department. This student must have at least one year of UGBC experience, preferably within the department historically.

Responsibilities include the programming of weekly meetings, coordination of department events, and provision of resources and advice to all directors within the department. It is preferable that this student has at least one year of UGBC experience and demonstrates a passion for Student Life.

BC to Boston Director:
The Director of BC to Boston will be responsible for organizing activities in the city of Boston, creating relationships with Boston businesses, and facilitating group discounts available for all BC students. Responsibilities include the effective leadership of the BC to Boston Team as a marketing, advisory, and operational resource for the department.

Dining Services Director:
The Director of Dining Services will be responsible for all UGBC initiatives working towards the improvement of BC Dining. He/ She will serve as the liaison between BC Dining and the student body. Responsibilities will also include the effective leadership of the Dining Services Team as a marketing, advisory, and operational resource for the department.

Information Technology Services Director:
The Director of Information Technology Services will be responsible for compiling and distributing information regarding IT services that are available on campus. He/She will also actively seek student feedback and input for ways that IT can continue to meet the ever-changing technological needs of students on campus. For example, the director should advocate for the implementation of an HD Television Option for residents. This position requires technological enthusiasm, but computer skills are not required.

Off-Campus Director:
The Director of Off Campus will work with ODSD and Residential Life to improve the resources provided to future off-campus students such as information on leases, contracts, and landlords. He/ She will be expected to organize events tailored to students who live off campus and work to improve BC’s reputation in the Brighton Community by attending local neighborhood meetings.

Student Rights Director:
The Director of Student Rights will work to provide increased resources and information to students regarding judicial policies on campus. He/ She will lead a small team of Student Rights Advisors trained by ODSD to accompany students with judicial hearings on campus. Responsibilities will also include the effective leadership of the Student Rights Team as a marketing, advisory, and operational resource for the department.

Transportation Director:
The Director of Transportation will be responsible for UGBC initiatives working towards improving transportation and parking for students. He/ She will serve as a liaison with the BC Manager of Transportation and Parking. He/ She is expected to utilize innovative ideas to expand upon established resources and to pilot new ones.

 

University Issues Department - apply now!

University Issues focuses on student issues that pertain to the upper Administration at Boston College and their relationship with students. The members of this department are expected to work closely with Administrators and foster strong working relationships in order to successfully complete initiatives.

Executive Director:

He/ She will assist the Executive Manager in maintaining a strong team environment within the department. He/ She will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the management of co-sponsorship opportunities with outside clubs and organizations and the maintenance of a strict budget in conjunction with the Director(s) of Finance. Furthermore, the Executive Director of University Issues will be expected to represent UGBC to upper-level Administrators on initiatives from the University Affairs department. This student must have at least one year of UGBC experience, preferably within the department historically.

The Executive Manager will be responsible for managing the day-to-day logistics of the University Issues department and its programs and initiatives. He/ she will assist the Executive Director in ensuring that the vision of the department is maintained and in-line with the mission of the rest of UGBC. He/ She will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the programming of weekly meetings, coordination of department events, and provision of resources and advice to all directors within the department. It is preferable that this student has at least one year of UGBC experience and demonstrates a passion for University Issues.

Academic Advising Director (2):
The Directors of Academic Advising will be responsible for UGBC initiatives to improve Academic Advising on campus. Specifically, goals include the implementation of an advisor evaluation form, installation of mandatory training for advisors, and the provision of increased resources to students. Responsibilities will also entail the effective leadership of the Academic Advising Team as a marketing, advisory, and operational resource for the department. Directors will be expected to work closely with the offices of the Provost, Vice Provost, and appropriate Vice Presidents to voice student concerns.

Academic Affairs Director (1-2):
The Director of Academic Affairs will be responsible for representing the interests and concerns of the student body pertinent to Academics. Responsibilities will also entail the effective leadership of the Ethnic Studies Team as a marketing, advisory, and operational resource for the department. Specifically, he/ she will be expected to promote the expansion of E-Syllabi and work closely with the offices of the Provost, Vice Provost, and appropriate Vice Presidents to voice student concerns.

Health and Safety Director:
The Director of Health and Safety will be responsible for UGBC initiatives to improve health and safety on campus. He/ She will be expected to build relationships with Health Services, Residential Life, the Boston College Police Department, ODSD, and other appropriate offices to voice student concerns. Responsibilities will also entail the effective leadership of the Health and Safety Team as a marketing, advisory, and operational resource for the department.

Service Director (1-2):
The Director of Service will work extensively with the Volunteer and Serving Learning Center in order to provide student input and concerns to administrators. In addition, he/ she will work with the Advancement Office to encourage alumni to donate to service trips. Responsibilities will also entail continued work in establishing a university fund to be used for service trips.

Student Formation Director (1-2):
The Director of Student Formation will be responsible for UGBC initiatives towards the integration of social, academic, and spiritual life through programs such as Jesuit Heritage Week.  Responsibilities will also include collaboration with offices and organizations that are invested in Student Formation goals such as Residential Life and the Office of Student Formation.

Sustainability Director (1-2):
The Director of Sustainability will be responsible for educating students and raising awareness on campus about environmental issues through programs such as Green Week. They will be expected to coordinate and collaborate with the Environmental Action Committee, EcoPledge, and other outside offices and organizations. Responsibilities will also entail the effective leadership of the Sustainability Team as a marketing, advisory, and operational resource for the department. It is preferable that this student demonstrates a strong affinity and knowledge of environmental policy.

 

Community Relations Department - apply now!

The Community Relations Department of UGBC will work with the President and Vice President to engage the campus on issues that transcend Boston College. The department will assist in providing the day-to-day input and feedback necessary for UGBC to improve the quality of the Boston College community. It will also be responsible for running the Community Appreciation and Campus Awareness Teams.

Chief Advisor:
The Chief Advisor will assist and advise the President and Vice President in all matters pertaining to the relationship of UGBC with the student community. Demanding a great deal of time and commitment, responsibilities will include the coordination of fluid communication with outside student organizations and the programming of “Town Hall”/Community Meetings. He/she will be responsible for providing weekly feedback to UGBC departments based on external perspectives, both on campus and beyond. He/she will also be expected to partner with members of the department to effectively lead the Campus Awareness Team as an advisory resource and operational foundation for school wide campaigns such as AHANA Acronym Awareness Week.

Community Appreciation Director:
The Director of Community Appreciation will be responsible for UGBC initiatives to foster a supportive community. He/ She is expected to utilize innovative ideas to celebrate the hard work and dedication of various student organizations. Responsibilities will include the effective leadership of the Community Appreciation Team as a marketing, advisory, and operational resource for the department.

Religious Affairs Director:
The Director of Religious Affairs will be responsible for UGBC initiatives to promote dialogue and awareness of religious diversity. He/ She will be expected to build relationships with members of religions groups on campus such as Campus Ministry.

Political Education Director:
The Director of Political Education will be responsible for representing political issues of concern on this campus and in our community.  He/ She will study legislation and government decisions to raise awareness of their impact on BC and in our communities.  He/ She will also work closely with members of political groups on campus.

UNITY Director:
The Director of UNITY will be responsible for continuing the work of U.N.I.T.Y. (United Nationalities Integrated Throughout the Year) in trying to bring groups of different backgrounds on this campus together. He/ She is expected to foster relationships with ALC, GLC, FACES, and the AHANA Caucus. He/ She is expected to utilize innovative ideas to expand on traditions such as UNITY Dinner and establish new programs.

Women’s Issues Director:
The Director of Women’s Issues will be responsible for raising awareness for women’s issues on campus through programs such as Women’s History Month. He/ She is expected to work closely with the Women’s Resource Center. He/ She is also responsible for increasing knowledge of resources for victims of sexual assault. Responsibilities will also entail the effective leadership of the Women’s Issues Team as a marketing, advisory, and operational resource for the department.

 

Communication Department - apply now!

The UGBC Communication department will serve as the marketing and advertising agency for UGBC. The Communication department will rely on various forms and venues of media to creatively publicize the initiatives of UGBC.  Members are expected to rely on the skills and talents of each other to create a collaborative atmosphere amongst the Communication department.

This student must have at least one year of UGBC experience, preferably within the department historically and demonstrate an affinity for advertising and marketing.

Executive Manager:
The Executive Manager will be responsible for managing the day-to-day logistics of the Communications department. He/ She will assist the Executive Director in ensuring that the vision of the department is maintained and in-line with the mission of the rest of UGBC. He/ She will work extensively with the President, Vice President and Chief of Staff of UGBC and will be required to report on upcoming department initiatives each week. Responsibilities include the programming of weekly meetings, coordination of department deadlines, and provision of resources and advice to all directors within the department. It is preferable that this student has at least one year of UGBC experience and demonstrates an affinity for marketing and advertising.

Account Manager (5-6):
Account Directors will be responsible for researching, developing, and executing innovative advertising strategies for UGBC initiatives. They will be expected to work with Creative Managers in the effective production of marketing materials and to act as marketing consultants for all Directors in UGBC.

Creative Director (4-5):
Creative Managers will be responsible for designing logos, posters, banners, and other marketing materials. They will be expected to work with Account Directors to maintain a consistent marketing vision for each project. He/ She should have a working knowledge of Photoshop, Illustrator, and/or PageMaker. Sample work is encouraged with the application.

Public Relations Director (2-3):
The Public Relations Directors will be responsible for maintaining the image that students at Boston College have of UGBC. The Directors will remain in communication with the various media forms on campus (The Heights, The Chronicle, The Observer, The Gavel, WZBC, etc) in order to make sure the messages UGBC sends are cohesive and cognizant of the UGBC mission. The Public Relations Directors will also work with the Campus Awareness and Event Management Teams to make sure that BC students are aware of the events and initiatives that UGBC is working on.

Production Director (2):
The Videographer will be responsible for film related projects pertaining to UGBC. Responsibilities include the creation of commercials and special features capturing UGBC programs and initiatives for the greater awareness of the student body. In addition, he/ she will be expected to work on internal UGBC projects in line with the goals of the President, Vice President, and Historian. Past experience with editing, I-Movie, and Final Cut Pro is preferable.

Technology Director (2):
The Technology Director will serve as the web technician for UGBC.org and facilitate the regular update of the Flat-Screen Notification System, UGBC Facebook fan page (facebook.com/ugbcfans), Twitter account (twitter.com/ugbc), and other online media forums. He/she will also be responsible for writing the bi-weekly UGBC Update emails, creating monthly online polls, maintaining PEPs and REPs, and improving UGBC’s online presence. Computer skills, creativity, and organization are essential to this position. This director will be expected to back up all data on the UGBC MyFiles account.

UGBC Teams will enable students to work on specific initiatives that align with their personal interests and passions. Teams will take a flexible structure with individual involvement dependent upon member initiative: “You get what you put in”. All UGBC Cabinet Members will also be expected to be a part of a Team, granting them the opportunity to reach beyond their specific positions and broaden their impact.

Academic Advising Team
This Team will be lead by the Directors of Academic Advising.  Members will be expected to maintain regular communication with Team leads and contribute towards UGBC Academic Advising initiatives and goals.

Athletics Team
This Team will be lead by the Directors of Athletics.  Members will be expected to maintain regular communication with Team leads and contribute ideas for improving game-day traditions and school spirit.

BC to Boston Team
This Team will be lead by the Directors of BC to Boston. Members will be expected to maintain regular communication with Team leads and investigate recreational opportunities for students in Boston.

Community Appreciation Team
This Team will be lead by the Director(s) of Community Appreciation. Members will be expected to maintain regular communication with the Team lead(s) and generate innovative ideas to celebrate the hard work and dedication of various student organizations.

Campus Awareness Team
This Team will be lead by the Chief Advisor and Public Relations Directors. Members will be expected to maintain regular communication with the Team lead and contribute to the successful execution of UGBC Awareness Campaigns. In addition, members will be expected to provide thoughts on UGBC’s commitment to facilitating education and dialogue surrounding various issues in the community. It is hoped that members will gain feedback from students in the BC community to make UGBC more aware of public opinion, as well as to share goals and initiatives of UGBC with the student body. The Team will make BC students themselves more aware via the Campaigns and Awareness Events.

Dining Services Team
This Team will be lead by the Director(s) of Dining Services. Members will be expected to maintain regular communication with the Team lead(s) and provide their input towards the improvement of Dining Services for students.

Ethnic Studies Team
This Team will be lead by the Director(s) of Academic Affairs. Members will be expected to maintain regular communication with the Team lead(s) and contribute to the research and development of UGBC Ethnic Studies initiatives and goals, including the expansion of Ethnic Studies programs and the creation of an Ethnic Studies major.

Event Management Team
This Team will be lead by the Director of Event Management. Members will be expected to maintain regular communication with the Team lead and ensure thorough setup and takedown of Campus Entertainment events, including the Fall and Spring Concerts. In addition, members will be expected to contribute feedback on UGBC’s commitment to providing quality entertainment for all students and brainstorm innovative marketing efforts for Campus Entertainment events.

Faculty, Administration, and Student Programming Team
This Team will be lead by the Director of Faculty, Administration, and Student Programming. Members will be expected to maintain regular communication with the Team lead and contribute towards increased interaction between faculty, administration, and students through innovative programs.

Health and Safety Team
This Team will be lead by the Director(s) of Health and Safety. Members will be expected to maintain regular communication with the Team lead(s) and provide their input towards the improvement of Health and Safety resources for students.

Off-Campus Team
This Team will be lead by the Director(s) of Off Campus. Members will be expected to maintain regular communication with the Team lead(s) and contribute to the creation of effective programs aimed at fostering a sense of community for off campus students. In addition, members will provide feedback towards the improvement of resources for off campus students.

President and Vice President Advisory Team
This Team will be lead by the President and Vice President. Members will be expected to attend regular meetings and provide constructive feedback on UGBC initiatives and goals.

Student Rights Team
This Team will be lead by the Director(s) of Student Rights. Members will be expected to maintain regular communication with the Team lead(s) and contribute towards improved educational resources for students regarding Student Rights.

Sustainability Team
This Team will be lead by the Director(s) of Sustainability. Members will be expected to maintain regular communication with the Team lead(s), ensure the successful execution of Green Week, and contribute feedback towards UGBC’s commitment to sustainability.

Women’s Issues Team
This Team will be lead by the Director(s) of Women Issues. Members will be expected to maintain regular communication with the Team lead(s) and contribute to the creation of effective programs aimed at fostering conversation and awareness on themes including, but not limited to: body image, safety, and gender issues for women.
